  • Booking & service info: appointment details, service history, preferences and notes

  • Dog info you provide: dog name, breed, age, behaviour notes, allergies, medical notes, grooming history, vet details

  • Payments: payment status and transaction references (card details are handled by payment providers)

  • Marketing preferences: whether you opt in/out

  • Images: photos/videos of your dog (and sometimes you may appear in the background)

  • Technical data: IP address, device/browser data, cookie/analytics data

2) How we use your data (and lawful bases)

 

We use personal data to:

  • Provide grooming services and manage bookings (contract)

  • Communicate about appointments (contract / legitimate interests)

  • Maintain safety and welfare notes and handle emergencies (legitimate interests; vital interests where urgent)

  • Keep accounts and tax records (legal obligation)

  • Send marketing where allowed (consent, or “soft opt-in” for existing customers where the legal conditions are met)

  • Use images for portfolio/social media (consent)

3) Where we get your data

  • Directly from you (website forms/booking, phone/WhatsApp, email, in person)

  • Automatically when you use our website (cookies and similar technologies — see Cookie Policy)

4) If you don’t provide required information

 

If you don’t provide information needed to groom safely (e.g., emergency contact, behaviour/health notes), we may be unable to accept the booking or may have to stop the service.

5) Third-party tools and service providers

 

We use third-party providers to run our business, including:

  • Wix (website hosting, booking/forms and related services)

  • Payment providers connected to our website (to process payments)

  • FreeAgent (accounting/business administration)

  • Communications providers (phone/WhatsApp/email)

  • Social media platforms where we have pages (e.g., Instagram)

We share data only where needed to deliver services, receive payment, run the business, or where required by law. We do not sell personal data.

6) Marketing emails/texts

 

6.1 Opt-in (preferred)

Where possible, we use a clear marketing opt-in checkbox. If you don’t opt in, we won’t send you marketing messages.

6.2 Soft opt-in (existing customers)

If you’ve previously booked with us, we may contact you about similar services where the “soft opt-in” conditions apply (including a clear opt-out at the time we collected your details and in every message).

6.3 Unsubscribe

You can opt out any time by using the unsubscribe option (where available) or emailing info@tamtamgrooms.com. If you opt out, we must respect that preference.

Booking/service messages (confirmations, reminders, “ready for collection” texts) are not marketing.

7) International transfers

 

Some providers may process data outside the UK. Where this happens, we use appropriate safeguards required under UK data protection law.

8) How long we keep data (retention)

 

We keep personal data only as long as needed, typically:

  • Customer and grooming records: usually up to 2 years after your last appointment (longer if needed for safety or disputes)

  • Tax/accounting records: kept in line with HMRC requirements

  • Marketing: until you opt out/withdraw consent

  • Photos/videos: until you withdraw consent (or we remove earlier)

9) Data security

 

We use reasonable technical and organisational measures to protect personal data and limit access to only those who need it (in practice, usually just the business owner). No method of online transmission is 100% secure, but we take steps to reduce risk.

10) Your rights

 

You have rights including access, correction, deletion, restriction, portability, and objection. Where we rely on consent, you can withdraw it at any time. We usually have one month to respond to valid requests.
